This policy ensures our adoption of Artificial Intelligence (AI) and generative machine learning tools remains ethical, legally compliant (under the GDPR and EU frameworks), and protective of client trust.
2. Approved and Prohibited Tools
• Approved Tools: Only enterprise-grade or business-tier AI platforms with strict data-privacy guarantees (where prompts are not used to train public models) are permitted for company work.
• Prohibited Tools: Free, consumer-tier public AI models must not be used to process proprietary code, client strategy, or internal communications.
• When in Doubt, Do Not Paste: If an AI tool’s data retention policy is unclear, employees must treat it as restricted.
3. Data Privacy and Client Confidentiality
• No Personal Data Sharing: We never input personally identifiable information (PII), confidential client metrics, or private user data into unauthorised AI platforms.
• Anonymisation Required: If client data must be used to generate summaries or technical ideation, it must be fully anonymised first.
• GDPR Alignment: All data processing must respect the data minimisation and privacy principles outlined in the In1 Solutions Privacy Policy.
4. Human Oversight and Verification
• Mandatory Review: AI-generated outputs (including code, search engine optimisation copy, or digital marketing text) cannot be published or sent directly to clients without human review.
• Accuracy Check: Employees are fully accountable for final deliverables. Every AI output must be checked for factual errors, hallucinations, and security vulnerabilities before deployment.
5. Transparency and Labelling
• Client Communication: We are transparent with clients regarding where AI tools assist in workflows (such as drafting code structures or brainstorming layout ideas).
• Automated Interactions: If deploying AI-driven live chat or customer support features on managed websites, users must be clearly informed they are interacting with an automated system.
6. Accountability and Enforcement
• Ownership: Team leads are responsible for monitoring AI usage within their departments.
• Reporting: Any accidental data leak, security loophole, or severe AI error must be reported immediately to management.
